Terms & Conditions

By accepting the quotation and making the payment, the Client confirms agreement to the following Terms & Conditions, subject always to the ability of Royal Air Ambulance Dubai (“Royal Air Ambulance”) to confirm the medevac flight(s) as or with the operator upon the terms set out below and the General Terms of Carriage for Ambulance Flights.

1. Flight Booking

Royal Air Ambulance will book, on the Client’s behalf (or on behalf of the company/corporation for which the Client is acting) as the Client’s agent, the flight(s) confirmed in the quotation (the “Flight(s)”).

2. Seating & Passenger Policy

  • Standard seating: 1 patient + 2 medical escorts.
  • No co-passengers are permitted unless specified in the quotation.
  • If extra passengers are approved, the Client acknowledges that this may involve additional fuel stops, alternate airports, and/or passenger taxes. All such additional costs shall be borne by the Client.
  • Diversions to alternate airports due to medical emergencies, as advised by the head doctor or crew, may result in additional charges, which the Client shall bear post-flight.

3. Baggage Policy

One mid-size soft-sided item of luggage per person is permitted.

4. Flight Schedule

Proposed schedules are subject to slots, parking, weather, traffic rights, overflight clearances, permits, and final approval from the Operator’s medical director.

5. Catering

VIP catering suitable for the length and timing of the flight shall be provided.

6. Crew Details

Standard crew: 2 Pilots + 1 Flight Physician + 1 Flight Nurse.

7. Handling Agents

To be advised on the final charter itinerary.

8. Charter Price Exclusions

  • Changes to confirmed itinerary
  • Aircraft de-icing
  • Use of inflight internet, Wi-Fi, or satellite telephone
  • Additional waiting time
  • Ground ambulance charges at departure or arrival points

Any such costs, if incurred, will be charged at cost (with documentation) and must be settled by the Client within 7 days of invoice.

9. Dangerous Goods & Prohibited Items

Carriage of lithium-ion/metal batteries is prohibited in hand baggage and checked baggage. This includes hoverboards, solo wheels, Galaxy Note 7 devices, or any electronic device subject to recall or known faults.

The Client shall indemnify Royal Air Ambulance against any claims, damages, or costs (including attorneys’ fees) resulting from carriage of such items.

10. Cancellation Charges

  • 100% of the total charter price if canceled within 12 hours of flight schedule.
  • 60% of the total charter price if canceled before 12 hours of flight schedule.

11. Medical Responsibility

Patient treatment and wellbeing onboard is the sole responsibility of the treating doctor onboard. The flight doctor reserves the right to approve or decline accompanying family members.

Standard guideline:

  • Critical patients: 1 family member permitted.
  • Stable/non-critical patients: Up to 3 family members may be permitted, subject to the flight doctor’s approval.

12. Fitness to Fly & Indemnity

The Client represents and warrants that all passengers are fit to fly and in good health. No passenger shall require medical equipment or treatment during the flight unless declared and approved in advance.

If diversion occurs due to passenger illness or medical needs, all additional costs shall be borne by the Client.

The Client indemnifies Royal Air Ambulance against any claims, costs, or liabilities arising from passenger unfitness or undeclared medical conditions.

13. Travel Documents

All passengers must carry necessary passports, visas, health certificates, and other travel documents. The Client indemnifies Royal Air Ambulance for any losses arising from failure to produce such documents.

14. Third-Party Claims

The Client shall indemnify and hold Royal Air Ambulance harmless against any claim brought by third parties due to acts or omissions of the Client, passengers, associated parties, or subcontractors.

15. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remainder shall remain valid and enforceable to the fullest extent permitted by law.

16. Governing Law

This Agreement shall be governed by the laws of Dubai, United Arab Emirates, and any disputes shall be subject to the exclusive jurisdiction of the Dubai courts.

17. Data Protection

The Client acknowledges that personal data will be processed for the purposes of providing services, facilitating immigration/entry procedures, and shared with operators, government agencies, and authorized third parties. Data will be securely stored in compliance with the Royal Air Ambulance Privacy Policy.

18. COVID-19 Notice

Due to the ongoing COVID-19 pandemic:

  • Flight operations may be impacted by restrictions or conditions imposed without prior notice.
  • Such restrictions may alter schedule, cost, timing, or operational parameters.
  • Additional costs or cancellations arising therefrom may be charged, with full transparency to the Client.
